The Track Hours page provides a comprehensive time tracking system with real-time monitoring, supervisor connectivity, and automated hour management for student work program participants.

How to Access

Navigation Path: Main Menu → Work Program Menu → Track Hours

Key Features

Real-Time Clock Display

  • Live Clock: Shows current time with animated effects
  • Session Timer: Displays elapsed time for active work sessions
  • Remaining Hours: Shows available hours left for the week

Status Dashboard

The page displays four main status cards:

Connection Status

  • 🟢 Connected: Real-time supervisor monitoring active
  • 🔴 Offline: Working without live supervision
  • Shows connection quality and monitoring status

Active Session (when clocked in)

  • Duration Timer: Live countdown of current work session
  • Status Indicators:
    • 🟢 Working Normal
    • 🟡 Overtime Alert (under 1 hour remaining)
    • 🔴 Over Limit (exceeded weekly hours)

Remaining Hours

  • Weekly Balance: Hours available for the current week
  • Color Coding:
    • Pink: Normal (>1 hour)
    • Orange: Warning (≤1 hour)
    • Red: Critical (≤0 hours)
  • Progress Bar: Visual representation of weekly hour usage

Auto Check-out Warning

  • Appears when you have ≤2 hours remaining
  • System Protection: Automatically prevents hour overages
  • Notification: Warns you before automatic check-out

Job Management

Job Cards Display

Each assigned job shows:

  • Job Title and Department
  • Real-time Status: Active, Overtime, Over Limit, or Inactive
  • Check-in Time (when applicable)
  • Progress Indicators with color-coded warnings

Available Actions

Clock In
  • Requirement: Only one job can be active at a time
  • Process: Click "Clock In" to start your work session
  • Notifications: Confirms successful check-in
  • Supervisor Alert: Automatically notifies supervisors
Clock Out
  • Process: Click "Clock Out" to end your session
  • Remarks Required: Add notes about your work accomplishments
  • Confirmation: Dialog ensures intentional check-out
  • Final Notification: Confirms successful check-out
View History
  • Complete Record: Shows all previous work sessions
  • Details Include: Check-in/out times, total hours, remarks, status
  • Status Tracking: Pending, Approved, or Rejected sessions
  • Actions: Delete pending records if needed

Automated Protection Systems

Auto Check-out

  • Trigger: Activates when weekly hour limit is reached
  • Process: Automatically clocks you out to prevent overages
  • Notification: Explains why auto check-out occurred
  • Supervisor Alert: Notifies supervisors of automatic action

Real-time Monitoring

  • 30-Second Updates: System checks elapsed time regularly
  • Hour Tracking: Monitors against weekly limits
  • Status Updates: Real-time progress indicators
  • Connection Monitoring: Tracks supervisor connectivity

Supervisor Communication

  • Message Types: Questions, issues, status updates, help requests
  • Real-time Delivery: Instant notifications to supervisors

⏱️ Step-by-Step Usage

📅 Starting Your Work Day

  1. Check Connection: Verify you're connected to supervisor monitoring
  2. Review Status: Check your remaining hours for the week
  3. Select Job: Choose the position you're working on today
  4. Clock In: Click "Clock In" to start your session

💼 During Your Work Session

  1. Monitor Time: Keep an eye on the session timer
  2. Watch Warnings: Pay attention to overtime alerts
  3. Stay Connected: Ensure supervisor monitoring remains active
  4. Track Progress: Monitor your weekly hour consumption

🔚 Ending Your Work Session

  1. Click Clock Out: Use the "Clock Out" button
  2. Add Remarks: Describe what you accomplished
  3. Submit: Confirm your check-out
  4. Verify: Check that you're properly logged out

📋 Reviewing Your History

  1. Click View History: On any job card
  2. Review Records: Check all your logged hours
  3. Verify Status: Ensure sessions are approved
  4. Delete if Needed: Remove incorrect pending entries

Important Notes

Weekly Hour Limits

  • Standard Limit: 20 hours per week
  • Protection: System prevents exceeding limits
  • Monitoring: Real-time tracking of hour consumption
  • Warnings: Alerts when approaching limits

Supervisor Monitoring

  • Real-time: Live connection shows supervisors your status
  • Notifications: Automatic alerts for check-ins/outs
  • Offline Mode: System works when connection is lost
  • Reconnection: Automatic attempts to restore connection

Status Indicators

  • Green: Normal operations, sufficient hours remaining
  • Yellow/Orange: Warning status, approaching limits
  • Red: Critical status, over limits or connection issues

System Reliability

  • Auto-save: All actions are immediately recorded
  • Backup Systems: Works offline when needed
  • Error Handling: Clear notifications for any issues
  • Data Protection: Prevents accidental hour overages
